One Stop Student Services - 2018 Survey Results
Every year One Stop Student Services sends out a satisfaction survey to students served during the fall. We ask for feedback on our service standards (knowledge, efficiency, empathy, welcoming) so we can continue to improve our services to students. In 2018 we increased our satisfaction percentages in all areas. This equates to an overall 6% increase in customer service satisfaction over last year. New hires

• Matt Duggan started full time with OTR as an executive office and admin specialist on Monday, December 31. He is located in 200 Fraser Hall. Matt will work with duplicate diplomas, duplicate ID resolution, and collegiate work. He was previously a student worker in OTR at both Twin Cities and Duluth.
• Gelane Firisa began work as a finance professional 2 in Classroom Technical Services (CTS) on Monday, December 10. She reports to David Crane. Prior to joining CTS, Gelane worked as a finance professional at the St. Paul extension office, and previously in finance roles for CLA.
• Daniel (Dan) Sagisser, has been hired by ASR-IT as a business/systems analyst 3 for the TADA project, effective January 14. He reports to Santiago Fernandez-Gimenez. Previously, Dan worked as a developer for CEHD.
• Liz Johnson transferred from her role as program/project specialist in OTR to the position of business/systems analyst 2 in the OCM on Monday, December 10. Liz reports to Sarah Kussow.
• Kendall Spase, ASR-IT, has moved from a business/systems analyst 2 role to a business/systems analyst 3 role with the TADA project, effective January 7. She reports to Santiago Fernandez-Gimenez.

Retirements

• Holly Johnson, Business/Systems Analyst 3 in ASR-IT, has been employed with the University since January 1997. 
• Michael Leech, Plan/Engr/Software Professional 4 in CTS, has been employed with the University since June 2004.
• Raymond Troyer, Plan/Engr/Software Manager 2 in CTS, has been employed with the University since January 1999.

One Stop Accepts EOAA Award

Last week, a team representing One Stop Student Services along with special guests Sue Van Voorhis and Robert McMaster, accepted the 2018 Lillian H Williams award from the University of Minnesota’s Office of Equal Opportunity and Affirmative Action (EOAA).

One Stop staff have displayed a deep dedication to fostering a welcoming and inclusive office in a variety of ways, including an update to the quality service standards and expectations; leveraging technology of the check-in kiosk to display the preferred name of the student; creating a summer book club for ASR staff to spark conversation around issues of identity, culture, and diversity; creating presentations and reflection activities to educate staff on topics including personal pronouns and microaggressions; and providing an opportunity for all student-serving staff to have new name tags and nameplates with personal pronouns.



12th Annual Student Veterans Appreciation Event
Each year, University Veterans Services hosts the Student Veterans Appreciation event to honor the service and recognize the unique commitment of student veterans and servicemembers. This year’s event was held on Wednesday, November 14 in the Great Hall in Coffman Memorial Union. The event, free and open to the public, featured T-shirts for veterans and drawstring bags for guests, pizza and games for all, a University and community partner information and resource fair, massage therapy, and Pet Away Worry and Stress (PAWS).

Retirements
After a long career of 41 years at the University, Carolyn Davidson has announced her intention to retire on December 4. Her most recent assignments have included being the lead for the Campus Community/Shared Data support team and lots of work on Campus Solutions security. She was also a member of the Civil Service Committee. We will miss Carolyn and her expertise and institutional memory. Please join all of us in congratulating her for many years of excellent service and enjoying all of the new adventures that retirement brings, including lots of international travel!

Karen Johnshoy Hesla, who has been a tireless advocate for students in the Office of Student Finance for many years, is retiring in mid-November. We wish her well in this new chapter.

Twin Cities updates (September 2018)

ASR-IT leadership changes
Jaime Wascalus has accepted the ASR -IT leadership role of Chief Information Officer. Her technical background, strategic vision and collaborative team focus will allow ASR to continue to be successful. Jaime has degrees in Mathematics and German and a Master’s in Management of Technology from the University of Minnesota.

Kristy Davis will assume the title of Director, ASR-IT. project management skills and experience working with ASR units.

Grant Clavelle, former ASR-IT director, retired from the University on September 4. Grant has been an instrumental part of student success, employee development and system oversight in ASR. We thank him for his years of service in enhancing the student experience across the system.

Staff updates

• Aileen Lively's last day of work with ASR-IT was June 29. She retired from full-time employment as a business/systems analyst 4 in July 2015, and she returned to work in ASR as a part-time business/systems Analyst 4 in September 2015. We wish Aileen the best of luck in her future plans.
• Rebecca Kroening, One Stop counselor, retires this month after 37 years at the University of Minnesota. We thank her for her service and wish her well.
• Hasan Malik's last day as executive office & admin specialist with the Office of the Registrar was Friday, July 6. We appreciate his service and wish him the best with his future plans.
• Jennifer Czeck has left her position as Developer 2 with ASR-IT. Her last day at the University was Friday, June 29. We wish Jenn well in her future plans.

• Alexander (Alex) Rose has been hired as a Business/Systems Analyst 3 in ASR-IT and began work on Monday, April 2. Alex previously worked as a Technologist in the College of Biological Sciences.
• Pa Thao has been hired as a Business/Systems Analyst 3 in ASR-IT and began work on Monday, April 2. Pa previously worked as an Institutional Research & Effectiveness Associate at St. Olaf College.
• Meghan Czarniecki began work as a Student Finance Counselor 2 on Monday, April 9, and she reports to Stephanie Kearley. Prior to joining ASR, Meghan worked as a Financial Aid Advisor Data Coordinator at North Hennepin Community College. 
• Jen Hoe Ng began work as a Student Finance Counselor 2 on Wednesday, April 11, and he reports to Deb Wilkin. Prior to joining ASR, Jen worked as a Student Finance Administrator at Argosy University. 
• Amy Brown has joined One Stop Student Services as a GSSP Coordinator. Previously, she worked in student services in the School of Nursing.
• Philip Dolan has joined Classroom Technical Services as an Electronics Technician. Philip previously worked in CTS, moved out of state for a year, and has now returned to the University. 
• Jim Koll from CTS has transferred from the role of Electronics Technician to the role of Inventory Control Specialist. Please congratulate Jim on his new position!

• Lauren Lanigan was a Financial Aid Counselor at Concordia College in St. Paul. She also has experience as a Financial Assistance Specialist with Anoka County Human Services. 
• Amna Hussein was a One Stop Customer Relations Representative for 3 years. She is currently employed at People Serving People as an Educational Services Associate working with homeless youth. 
• Drew Johnson was also a One Stop Customer Relations Representative and Parent Orientation Coordinator at the Office of Transition Experience.

Twin Cities updates (March 2018)

Complete Drop Initiative - ASR Collaboration
Nate Peterson (OSSS) and Cathy Schuster (OSF) have been working collaboratively on an initiative to prevent students from dropping all classes without contact with their advisor. Starting in fall 2018, Twin Cities and Rochester degree-seeking students who attempt to drop below 6 credits will get an error message preventing the drop and prompting them to meet with their advisor.

The minimum credit threshold of 6 credits will be applied the day after the 100% refund date and remain indefinitely. Athletes and international students will be excluded from this (due to NCAA and visa requirements). The student will be warned that their action would drop them below the minimum required credits, and refer them to their college advising office, International Student and Scholar Services, or Veteran’s Services. After the advisor or college staff has contact with student, the minimum threshold can be reduced or removed so the student can complete the drop.

Once a communications plan is completed, materials will be shared with system campuses in the event that they would like to duplicate any portion of the process.

One Stop annual survey results
Each year, One Stop Student Services sends out a student satisfaction survey to students who we have served during our busy time in the fall. We seek feedback from our students so we continue to keep our finger on the pulse of how students can best be served. There is no better way than to simply ask them! View the survey infographic.

The survey consists of a rating scale for our three modes of contact (phones, walk-ins, and emails). We also determine how well we are meeting our service standards of Knowledge, Empathy, Efficiency and the our newly added standard of “Welcoming” (which has replaced “Friendliness”).

We asked students to comment on how we are doing overall. We received many comments such as "I felt that the One Stop representative was on my side and cared about my problem. Also they took care of my issue in no time. Thank you very much for friendly service." We are proud that the overall satisfaction rating is 80%!

There were some minor changes to our survey design that may have impacted our final results, which we will keep in mind as we continue to improve our survey procedure. We are taking a SWOT (Strengths, Weakness, Opportunity and Threats) approach in reviewing the students’ comments and looking to make One Stop even better in the future.

One Stop West Bank renovation
One Stop Student Services on the West Bank has a fresh look and improved functionality. Updates to the space include more privacy for counseling conversations, better accessibility for visitors in wheelchairs, triage space for periods of peak traffic, and an additional "hotel" workspace. If you are near the West Bank Skyway, stop by and check it out.







Twin Cities submitting the PPA for recertification
The Twin Cities campus will be submitting their Program Participation Agreement (PPA) for recertification to the Department of Education (ED) by March 31, 2018. The campus is allowed to administer aid through the end of June, but often the recertification review process can take several months. Recertification is required for the campus to continue to administer Title IV financial aid. Through the recertification process the campus affirms that they are still meeting the requirements set forth by ED and reflects any relevant changes to academic programs and program delivery. The Twin Cities campus anticipates hearing back from ED in early June.

• ASR Student Data and Analytics has two new data analysts starting on April 2.
• Alex Rose is joining the team from the College of Biological Sciences.
• Pa Thao will be coming to us from St. Olaf College.
• Jen-Hoe Ng will be starting on April 11 in OSF undergraduate unit. Jen is a Minot State University graduate and presently works at Argosy University in Eagan. He has also worked at the Minnesota School of Business and Capella University. He volunteers at YouthLink Minnesota, providing financial aid counseling to homeless youth.
• Meghan Czarniecki will be starting April 9 in OSF undergraduate unit. Meghan is from New York and worked at the University of Rochester as the assistant director of financial aid before moving to Minnesota. She has been working at North Hennepin Community College since July as a data coordinator for financial aid.

Twin Cities updates (January 2018)

ASR committee awarded Campus Climate Micro Grant
One Stop Student Services’ Diversity, Equity, and Inclusion Committee, along with partners from the Office of Student Finance, recently received a Campus Climate Micro Grant. The grant will fund name tags that include personal pronouns for public-facing One Stop Student Services and Office of Student Finance staff. This project aims to increase competence about personal pronouns and also demonstrates a commitment to creating an inclusive environment for our students, staff, and community. Prior to receiving this grant, the committee laid a foundation for this project through presentations and trainings for the Academic Support Resources (ASR) community. Opportunities to expand this initiative to other interested ASR staff may be available in the near future.

Transfer Evaluation System (TES) implementation
The Transfer Evaluation System (TES) went live for the TC campus just in time for spring orientation. Courses evaluated through TES will be available for students to explore in Transferology. If a course hasn’t been evaluated, students (or advisors and staff) can submit courses for review through the Office of Admissions Submit a course for review page. ASR will manage the routing of submitted courses to departmental reviewers and entering the outcome in DARS TA tables.

Advisor training continues on Transferology and Transferology Labs, the tools that students and advisors use to understand U of M transfer course articulation. See the new web page at http://admissions.tc.umn.edu/transfer/creditevaluation.html.

Twin Cities graduation rates
Staff and faculty around campus have been working diligently to support increasing graduation rates, with an eye toward meeting the goals set by the Board of Regents. Here are this year’s graduation rates for the Twin Cities campus:

• 4 year: 68.4% (up just over 3% from last year)
• 5 year: 77.87%(up 0.2% from last year)
• 6 year: 80.6% (up nearly 2% from last year)

These numbers represent NHS admits in the fall terms of 2011, 2012, and 2013. In the future we will continue to focus on increasing the five year rate as well as special student groups. There will also be increased focus on the fall 2015 cohort, as the Board of Regents have set a goal that we reach 82% for the 6-year graduation rate by 2021.

Expected Graduation Term (EGT) project
Beginning with NHS and NAS students admitted for spring 2018, OTR will populate an Expected Graduation Term (EGT) for students in their first term. Collegiate staff will edit the EGT as needed as students make progress toward their degrees. Once students have achieved 75% of their degree-applicable credits, they’ll be scheduled to graduate, eliminating the need for a graduation application. The goals of this project are to reduce financial aid compliance risks, provide useful data points for reporting, and to support student success goals and graduation rates. Spring transfer student communication
Recently, 893 spring transfer students at the Twin Cities campus were sent a welcome letter, Q&A, a loan comparison chart and the “Why Graduate in 3 years” graphic. This is the first year transfer students are being sent the same information that traditionally has been sent to freshman parents prior to fall semester. Hopefully, by receiving this information, many of the their questions about the financial aid process and billing will be answered. We continually look to enhance the transfer student experience and keep them informed as they are an important part of the University community.

Staff news

• Anthony (Tony) Thomas began working in ASR-IT on Wednesday, January 3. Tony is a Developer 3 on the Custom Solutions team, and he is located in 160 Williamson (reporting to Kristy Davis).
• Carrie Otto will be rolling off the CS9.2 project and leaving Academic Support Resources at the end of February. You may still bump into Carrie as she will be around in a new part-time role in the U of MN Institutional Analysis department where she will focus on some strategic enterprise CRM initiatives.
• Mona Ganatra began work in ASR on December 18. Mona is a Business/Systems Analyst 3 (Transfer Details Business Analyst), and she reports to Jenni Peterson. Mona is located in 260-B Fraser Hall.
• Ruanne Pearson, Student Finance Counselor 3 in the Office of Student Finance, retired on January 17, 2018. She has been employed at the University for nearly 37 years.

Twin Cities updates (November 2017)

Expected Graduation Term (EGT) project
In order to further support the University’s progress toward degree efforts, a project is underway to populate the expected graduation term (EGT). Beginning with the spring 2018 cohort, the plan is to populate EGT after the census date of the student's’ first term of enrollment. The EGT will be based on the student’s admit type. NHS admit types will have the EGT populated based on eight semesters, and the NAS admit types will have the EGT populated based on six semesters.

EGT can be manipulated by the college up until the time the degree checkout status is changed to “applied.” ASR will add the degree checkout status of “applied” when the student has achieved 75% of their degree progress. Once degree status is updated to “applied” students who need to change EGT can request a change. Questions on this project should be sent to Adrienne Bricker.

Transfer Evaluation System (TES) project and Transferology
The TES project is implementing a web-based workflow to help incoming Twin Cities transfer students understand how their courses fit into their degree plan earlier in the transfer process. Students and prospective students will be able to submit courses for review on the Twin Cities’ admissions website, or explore and search for courses that have already been reviewed through Transferology—an online transfer credit database.

This project will increase the number of direct course-to-course equivalencies and elective equivalencies by systematically routing courses to departmental faculty for review. The outcomes of these reviews will be transparent in Transferology and will articulate automatically upon transfer. This efficiency and consistency will help improve the transfer student experience.

Many advisors have already attended or are planning to attend training sessions on Transferology and Transferology Lab. Advisors will use both of these products to serve students and monitor courses in the TES workflow. The project team is meeting with colleges to identify departmental evaluators and backups for each course designator—these staff will directly interact with the TES workflow. The project is planning to continually onboard faculty evaluators as they are identified, and the web page for students will be available in early January.

N/R N/R tuition proposal
At the October Board of Regents (BOR) meeting the Twin Cities Non-Resident, Non-Reciprocity (NRNR) proposed tuition increase for Twin Cities was discussed. The Regents would like the Twin Cities NRNR rate to fall somewhere in the middle of the Big 10. The current proposal is for a 15% tuition increase for each of the next two years 2018-19, and 2019-20. More discussion is expected at December’s BOR meeting.

Big Ten Alliance Military/Veterans Conference
This year’s Big Ten Academic Alliance Veterans Conference was held at the Ohio State University from October 2-5. Representatives from veterans services offices from all Big Ten schools attended, with Jabra Kawas from One Stop and University Veterans Services attending on behalf of the U of M.

The conference provided a forum for veterans services staff to discuss issues pertinent to student veterans in higher education. Highlights included a legislative affairs update by the OSU VP for Government Affairs, a tour of the OSU Military/Veterans Office and Veterans Lounge and campus, and open discussion forums for school representatives. Hosting duties for this conference rotate each year between all Big Ten partner institutions, with the University of Minnesota scheduled to host in 2025 and 2038.

11th Annual Student Veterans Appreciation Day
The 11th annual Student Veterans Appreciation Day event was held on Wednesday, November 15, 2017 in the Great Hall in Coffman Union. Festivities started at 11 am and concluded at 1 pm, with pizza, pop, games, an information fair, therapy animals, and massages on the docket. This event was free and open to the public.

As in past years, University Veterans Services hosted a ‘Bridge Event’ on November 8 as a prelude to the Student Veterans Appreciation Day. Coffee and donuts were provided to those who were willing to stop at tables set up on the east end of the Washington Avenue Bridge and fill out a thank you note to military veterans. These notes were posted at the appreciation event.

ISSP Conference
The 2017 Institute for Student Services Professionals (ISSP) Conference took place on October 8-10 in Peabody, MA, and the theme was Integrating Student Services: Understanding and Exceeding Student Expectations.

Attendees from the University of Minnesota One Stop Student Services included, Julie Selander, Katie Johnson, Karen Magness-Pokornowski, Rick Zmudzien and Josh Geiger.

There were some very informative sessions, one of which focused on the idea of Service Recovery, which is the action taken by a service provider in response to service failure. Customer facing organizations inevitably need to provide Service Recovery to its customers on occasion. One Stop works to incorporate Service Recovery in interactions when the customer feels their expectations of service have not been met.

Josh Geiger and Julie Selander also provided a breakout session focused on One Stop’s training model. The breakout provided information on what content is covered in training, the teaching methodologies used, as well as assessment tools and how One Stop seeks to build culture throughout our training program and beyond.

Staff News

• One Stop Student Services recently welcomed 3 new counselors:
• Mila Ly was formerly a CRR in the One Stop Office.
• Jiksa (JT) Tafara brings with him financial aid experience from his role at Bethel University.
• Jordan Steger comes to One Stop from the Orientation and First Year Programs office.

All 3 will be working out of the Bruininks Hall location and have begun training on their new roles.

• Mee Vang, One Stop Student Services counselor, has been promoted to Student Supervisor/One Stop Counselor. Mee has been with One Stop 9+ years as a Counselor and, with this promotion, will now be adding the supervision of CRRs to her responsibilities.

• Brittany Rams joins the Graduate Student Services & Progress (GSSP) within One Stop. After a 2 year absence living abroad, former One Stop Counselor Brittany Rams rejoined One Stop as the GSSP Coordinator.
• Chris Abts, former GSSP Coordinator, has transferred to a business analyst position within ASR's Continuity and Compliance department.

• Nathan Carlson joined the Destiny One team with a focus on the Canvas integration project.

• Nate Meath returned to ASR on the Student Data and Analytics team focusing on the Student Success Analytics initiative.

• Richard Balderrama joined the Campus Community/Shared Data team in ASR IT and is focusing on production support in order to allow other team members to devote more time to 9.2 Phase 2 Projects.

• Andy Fields, formerly of the One Stop, joined the Student Financials team in ASR IT to assist with production support and testing while other BA’s work on their 9.2 Phase 2 projects.
• Joe Baker joined the Office of Student Finance Fiscal team on October 4. Joe will be working on financial aid process and return of funds.

Helping U: Students helping students navigate the U
One Stop Student Services and the Office for Student Affairs have partnered together to enhance the Helping U desk in Bruininks Hall.

At the Helping U desk, student-staff have been trained to connect fellow students to University-based resources such as academic support, career help, and health services. The desk is open M-F 8:00 a.m. to 4:00 p.m.

Find Twin Cities Campus Study Spaces
Study Space Finder is a new service for students that includes images, building features, and study locations on the Twin Cities campus. The project is a collaboration among the Office of Classroom Management, University Libraries, Student Unions, the Office of Information Technology, AHC Classroom Services, and University Services. One Stop Student Services and MyU Portal start-of-term statistics
This year proved to be just as busy as previous years in One Stop Student Services. For the two of the busiest weeks of the year (the week before classes and the first week of classes), the volumes of calls answered, emails sent, and in-person counseling contacts were similar to last year’s volumes. In total (phone, email, and in-person), One Stop staff handled approximately 8350 contacts during the 5-day week before classes, and about 8900 contacts during the 4 days of the first week of classes.

While there are always ups and downs with the wait times throughout any given day, the average wait times for our phone queues reflected significant decreases compared to last year. For the week before classes, the phone wait times averaged 2 minutes on Queue 1 (general questions answered by student employees) and averaged 4 minutes on Queue 2 (more complex questions answered by full-time staff). This is up to a 5 minute decrease in wait times compared to last year. However, walk-in counseling wait time averages increased somewhat this year. Start of the term system performance and availability issues impacted our volumes and wait times.

The MyU Portal had increases in the number of sessions, page views, and users for the first day of the fall semester compared to last year at this same time. On the first day of fall term, there were 110,764 unique users in MyU.

• OTR welcomed two new employees on September 11 
• Kate Hemmer is our new Assistant Registrar who joins us from Marquette University.
• Theresa Nelson joins as a Graduate Education Records Specialist from Student Counseling Services here at the U.

• Nathan Carlson joined the Destiny One support team on September 18. He comes to us from Metro State.
• After 36 years of service to the University, Linda Miza retired on September 1. In her business analyst role Linda was a valuable member of the student records team, extremely knowledgeable, and always willing to assist others. We wish her well in her future endeavors.
• Sherief Elabbady from the Student Data and Analytics team left the University to take a role with Land O’Lakes. His last day was August 25.
• Debbie Gillespie from the Custom Solutions team left ASR to take a role with Particle. Her last day was September 20.

University to host Higher Education Financial Wellness Summit
One Stop Student Services at the University of Minnesota-Twin Cities is thrilled to host the 4th annual Higher Education Financial Wellness Summit (The Summit) from July 30-August 1, 2017! The conference will take place at The Commons Hotel on the Minneapolis campus.

New associate director for compliance, scholarships, and athletic aid
On April 10, Michelle Curtis joined the Office of Student Finance as the new associate director for compliance, scholarships, and athletic aid. Michelle comes from the University of Wisconsin, Madison and has extensive experience in a similar role.

One Stop financial wellness counseling expanded
One Stop Student Services is now expanding 1:1 financial wellness counseling by offering appointments at all three Twin Cities locations. Financial wellness appointments have been available at the East Bank and St. Paul locations, and now are offered on the West Bank.

Graduation rates trending up
The 4, 5, and 6-year graduation rates for the Twin Cities campus all went up with the 2016 data snap. The 4-year graduation rate exceeded the Regents’ goal of 65% (officially 65.2%), while we missed the 6-year rate goal of 80% (officially 78.9%). Based on the degrees already awarded and the applications for degree through summer 2017, this year’s graduation rates have the potential to be 1.5% to 4.2% higher.

Financial aid ISIR code 399
With the implementation of Prior, Prior Year (PPY) this year, students and families were required to use the 2015 tax information for two aid years, 2016-17 and 2017-18, when completing the Free Application for Federal Student Aid (FAFSA). Sometimes this has resulted in instances of conflicting information between the two aid years, and the financial aid office must resolve these data conflicts. When this occurs, Institutional Student Information Report (ISIR) code 399 flags these records.

During this transition year to PPY, the conflicting FAFSA information may actually impact financial aid that has already been disbursed for a previous term. In some instances, this can even result in the office having to take back aid from students from the previous year.

For students in these situations, the Twin Cities campus has instituted a special protocol to help mitigate some of the negative consequences of having financial aid ‘pulled back’ after a term has already ended. Specifically for students in this situation, we will waive some late fees, consider alternative payment plans if necessary, and be more lenient on hold release appeals to allow registration and avert future enrollment cancellation.

Unlike standard verification, resolving 399 codes can be more complex and take more time for the financial aid office staff to resolve as there is often more information that needs to be collected, reviewed, and verified.

Live Like a Student (LLAS) receives grant for international student video series
Live Like a Student (LLAS), the financial wellness campaign comprised of members from One Stop Student Services, Continuity and Compliance, and the Office of Student Finance, recently applied for and was granted a $23,000 budget to create financial wellness outreach specifically for international students. The funding is provided from the International Student Academic Enhancement Services Fee. Professionally created videos geared toward the international student community will be created and distributed to help specific populations understand financial wellness. Additionally, One Stop staff will present at Global Gopher Week to engage in a face-to-face setting with international students. University to host Higher Education Financial Wellness Summit
One Stop Student Services at the University of Minnesota-Twin Cities is thrilled to host the 4th Annual Higher Education Financial Wellness Summit (The Summit) from July 30-August 1, 2017! The Summit unites educators with a passion for student financial wellness and connects those who value the significance in students' understanding of how to manage their personal finances. Previous host institutions have been The Ohio State University and Indiana University. Program proposals and early bird registration deadlines are on March 31, 2017. The conference will take place at The Commons Hotel on the Minneapolis campus.

New department directory
Now there is a new Department Directory available online that makes it easier to connect. Improvements include more complete contact information for units and staff such as unit postal addresses, staff email addresses, and links to faculty bios.

Gopher Day of Coderetreat - January 12, 2017
Our first Gopher Day of Coderetreat successfully brought developers together for a day of dedicated, deliberate practice. Altogether, 40 programmers (from first-year students to 20-year professionals) spent the day pairing, discussing, and learning. Feedback from the event has been universally positive and Ian Whitney is assembling a group of people interested in organizing next year’s event.

Gopher Day of Data - January 13, 2017
The first Gopher Day of Data event brought approximately 80 students, staff, and faculty together to work on 11 data and analytics projects. Verbal feedback from participants was positive; more feedback is being collected to determine whether to repeat this event annually.

Office of the Registrar updates
The registrar's staff have been busy with term transition activities wrapping up fall term and looking ahead to spring. Here are some numbers for you:

• Fall term activities
• Over 275k fall grades for have been posted, however follow-up continues for incomplete and non-reported (NR) grades.
• Of the 18k NR grades posted, more than 14k have already been resolved to another grade.
• Fall graduation numbers to date are 3,253 posted degrees for all careers.
• Spring term activities
• Approximately 240k enrollments for spring for over 55,000 student
• Approximately 2,860 spring 2017 graduation requests are being processed

Retirement
Congratulations to Dianne Danov. After many years of service Dianne, Associate Director for Compliance, Athletic Aid and Scholarships, will be retiring in early-February. An open house reception is scheduled for January 31. Contact Tina Falkner for details.

New One Stop/Veterans Services assistant director at Twin Cities

Jabra Kawas was hired as the new assistant director in the One Stop/University Veterans Services for Twin Cities and joined us on January 23. Jabra was the Veterans Services Coordinator at Dakota County Technical College (DCTC). Prior to that he served as an enrollment advisor and financial aid specialist at DCTC. He has served with the City of Minneapolis as a police officer for 14 years and in the US Army Reserve for 8 years. He holds a BA in Psychology from the University of Minnesota, an MA in Strategic Leadership from Bethel University, and is expected to graduate with his MBA from Bethel this spring.

October 23 MyU Student Degree Progress (SDP) launch

Twin Cities and Rochester campuses successfully launched a new tool within MyU that helps undergraduate students better understand their degree progress and plan for four-year degree completion. Members of the Student Degree Progress and APAS teams provided a demonstration of the tool in early November for advisors and staff. Student have been receptive to the new Degree Progress tool, and since launch, 8,436 student have viewed the new tool on the Degree Progress tab. 2,828 student have continued to the second page to learn more about their degree progress.

Financial aid verification training

On Tuesday, November 15, the Twin Cities Office of Student Finance staff who are responsible for verification completed verification training in preparation for upcoming 2017-18 verification responsibilities.

• Community Fund Drive with a twist!

One, two, three, four, we declare a PENNY WAR! From October 14-31, 2016 ASR staff engaged in a Penny War to raise money for the Community Fund Drive. It involved several ASR staff members’ pets that have been featured in our internal newsletter, News & Notes. ASR staff 'voted' for their favorite pet. All funds ASR collected went to the U of MN Foundation to be added to the Completion Fund Scholarship.

Our featured pets for the Penny War were: Tonks; Bears; Snickers and Meep; and Newman. Congratulations on raising $527 funds, and of course congratulations to the winner, Tonks.

One Stop St. Paul location officially opened Aug 29 This is a new collaborative model working side by side with CFANS. The remodeled space has a bright, open feel and features a new counter with rehabilitated barn wood, four self-service computers, and flexible work space.



ASR staff completed move to Fraser ASR's Office of the Registrar and Office of Student Finance staff—formerly located on the St. Paul campus and in Williamson, Fraser and Bruininks Halls—are now officially in 200 Fraser Hall. The move took place in August. Staff still have their same phone numbers if you need to contact them.

Student degree progress tool being developed for Twin Cities and Rochester campuses Later this fall, the University of Minnesota's Twin Cities and Rochester campuses will launch a new tool within MyU that helps undergraduate students better understand their degree progress and plan for four-year degree completion. This tool utilizes data from APAS to calculate a student's progress within their degree program. Students will receive recommendations, based on their individual progress and University experience, to help guide them toward four-year degree completion. Multi-institution and transfer students are also included. For this reason, students on your campus may become aware of the new Degree Progress information. If you have questions, contact the ASR Student Degree Progress team.

New Academic Support Resources website A redesigned Academic Support Resources (ASR) website launched Monday, September 12. The new ASR website hosts information on training, support resources, ASR departmental contacts, resources for faculty and staff, and links to applications managed by ASR. Watch a short video introducing the new site.

College in the Schools (CIS) 
Twin Cities ASR IT, OTR, CCE-IT, and College in the Schools (CIS) staff have been working on a pilot for fall term to automate the PS student records creation for new CIS students. This automation is the first phase of this project and will provide CIS staff great time savings. Testing is going well and CIS staff are reviewing the business process for the roll out of this new automation. Next phases include looking at options for the automation of term activation and enrollment.

CollegiateLink

• Beginning fall term 2016, the Twin Cities and Rochester campuses will be using CollegiateLink for Student Group registration. 
• CollegiateLink is an online organization management system offered through Campus Labs. It is used to help students connect with events and involvement opportunities at the University of Minnesota. The database records student group profiles, membership rosters, and events, as well as provides students with the opportunity to compile record of all of their involvements.
• Erik Dussault (project manager) and Janet Crittenden (business analyst) are currently demonstrating what CollegiateLink is and how it can benefit departments and college offices. They are scheduled to present at the Registrar Advisory Committee, Council on Undergraduate Education, and the Advising Steering Committee. Erik and Janet will be reaching out to other departments and college offices over the next nine months to present what CollegiateLink can do for their students. The plan is to roll out an experience record to students at the fall 2017 student orientation.

Staffing for vacancies
Congratulations to Ingrid Nuttall, director, Office of the Registrar, on her new position of IT Manager of Enterprise Systems in the Office of Information Technology (OIT). Her last day in ASR will be Friday, May 27. Ingrid, no doubt, will bring to OIT her high energy presence, professionalism, improv talents, and project management skills. She has been instrumental in many directives across the University over the years and will be missed by many. Her infectious personality has allowed partnerships to be built across many units, paving the way for helping faculty, staff, and students at the University.

Jeremy Todd, Office of Classroom Management, will step in as the interim director. He has been very involved in the various projects and process that occur in OTR the past few years. He assisted in the Office of Student Finance transition of directors. Jeremy is well versed in the workings of Academic Support Resources units. The staff in ASR are competent and dedicated which allows for Jeremy to take on this role. Please feel free to contact him with any of your questions at toddx012@umn.edu. We will begin a search for a permanent director shortly.

Student Degree Progress: spring numbers
The Regents Progress Card established graduation rate goals of 65% for our four-year cohort (i.e., the fall 2017 entering freshman class) and 82% for the six-year cohort (i.e., the fall 2015 entering freshman class) by 2021. Currently, our four-, five- and six-year cohorts are on the right track trending slightly higher than last year's rates that locked at 63.3%, 75.7% and 77.69% respectively. Our potential graduation rates are based on the number of students whose degrees have been awarded plus the number of students who have applied for degree, and reaching those rates depend on every student who applied to graduate through summer 2016 actually receiving their degree.

To assist UMTC students financially in completing their degree, ASR currently has money available in the form of "Completion Funds". While an ASR committee reviews each student on a case-by-case basis, priority is given to students who could benefit from registering for summer in order to get back on track for four-year degree completion or who are ready to graduate this summer. Preference is also given to students who are struggling to pay off their spring 2016 balance and need to register for summer or fall.

One Stop Student Services: St. Paul location
One Stop Student Services St. Paul location will be moving for the summer in preparation for the new integrated One Stop/CFANS Advising Center (opening fall 2016). The St. Paul location of One Stop will be closed on Thursday May 26 and Friday May 27 to move from 130 Coffey to 101 Coffey. In mid-August, the new center will open for students, staff, faculty, and all to see and enjoy.  Any questions about this move and the new center can be directed to Nate Peterson, Assistant Director of One Stop Student Services at pete2787@umn.edu.

• Jessica McCarty transitions today from student to full-time employee in OCM in the position of Project Coordinator. In her new role she reports to Toni Pangborn; her office is in 160 Williamson.
• Steve Miller has joined OSF in Student Account Assistance, in the Finance Professional 2 position vacated when Linda Olson retired. Steve will be working with student A/R, and comes to us with experience in collections and student loans. He reports to Lydia Self and is in 211 Bruininks Hall.
• Cindy Salyers joins ASR-IT as a Data Analyst. Her office is in 160 Williamson and will work with Jeff and the rest of the Student Data and Analytics team.
• Chelsea Weber joins OTR as Executive Office & Admin Specialist. She replaces Pat Rickard and reports to Amber Cellotti. Her office is in 20 Fraser Hall.
• Christina Wilson joins OSF this week in the temporary part-time position of Finance Prof 1 reporting to VIrginia Lim Stembridge. Her office is in Fraser. Christina last worked at Northern Arizona University in the Office of Scholarships and Financial Aid.
• Jason Holscher left ASR on Friday, May 6. Jason worked in ASR for 21 years. 
• Tony Mogelson, formerly of SF IT, moved to OIT as a business analyst on the Research team. Tony’s last day was May 13.
• Sarah Naranjo's last day in One Stop was Friday, May 6. Sarah joined ASR in 2011 and worked at the University prior to that time.

Twin Cities updates (January 2016)

Diploma pick-up
The Twin Cities Office of the Registrar is piloting a diploma pickup initiative for fall 2015 graduates. The goal is to provide an opportunity for graduates to receive their diploma as soon as possible and reduce (even if by just a few) the number of returns we receive. We have just over 50 students who have asked to pick-up their diploma.

Analytics and data integration FCoP wrapping up
The analytics and data integration Formal Community of Practice (FCoP) is wrapping up its work and will be presenting final recommendations to the Enterprise Data Management and Reporting (EDMR) governance group in March. The final FCoP meeting will be February 17 from 1-2:30 p.m. More details will be available on the FCoP website.

Update on Timely Graduation policy 
The 30-day review period for the revised administrative policy: Promoting Timely 
Graduation by Undergraduates was completed as of January 7. The new policy language will be published on the University Policy Library within the week. The policy outlines the University’s expectations for when a student must declare a major, and provides a schedule that takes into account transfer credits earned by New Advance Standing students and Inter-University Transfer students. To ensure students declare majors and take courses applicable to their degrees, this policy allows colleges to place a hold on a student’s record to ensure advisors and students meet prior to registration for the next term.

Financial Aid Basics and More
On Thursday, January 7, the Office of Student Finance (OSF), One Stop Student Services, and the Office of Undergraduate Education partnered to present financial aid basics (and more) to academic advising staff on the Twin Cities campus. Nearly 80 academic advisors attended the session and were very interested in learning more about how they can help students with financial aid issues (without becoming financial aid counselors). A large portion of the meeting talking about Satisfactory Academic Progress (SAP), Work Study, Cost of Attendance appeals, Special Circumstances appeals and enrollment changes and the subsequent impact on financial aid. Those in attendance noted that having regular workshops that discuss financial aid in general and do a deep dive into specific topics that pertain to academic advising would be helpful and welcomed.

IT systems upgrade
ASR-IT staff are now in the midst of our next enterprise upgrade, PeopleTools, which is a
layer of PeopleSoft that contains the look and feel, colors, fonts, date routines, etc. This
upgrade will run now through mid-April and will require multiple testing rounds during that time. This will also cause other bug fix work from our backlog portfolio to be curtailed for March and April; only critical bugs fixes will be addressed.

1098-T forms available through MyU
In the coming week, students with a completed eAgreement will be able to access their 2015 IRS 1098-T form via MyU (only tax years for which they are eligible to receive a 1098-T are available to view). Students who have a 2015 1098-T available online will receive an email notice letting them know it is ready; a notification will also be added to MyU. Parents/guests with student account access also have access to the 1098-T through MyU. This is a significant gain in efficiency and will greatly reduce the number of forms needing to be mailed.

New Aid Year 
FA-IT staff have started pulling in records 2016-2017 (ISIR) nightly (M-F), to process for the next Aid Year (fall 2016). This allows One Stop staff to access the information to respond to student inquiries on the receipt of their application for next year.

Destiny One Registration System (DORS) Update
Colleges/units who have non-credit registration needs should review the Events Calendar, Tickets and DORS Matrix to evaluate if Destiny is the appropriate tool to support your non-credit registration needs. Benefits include:

• Provides a single, effective system to support non-credit registration processes.
• Creates efficiencies by eliminating the need for duplicate shadow systems.
• Integrates with existing University enterprise systems (Shib, Moodle, EFS, and soon Salesforce).
• Provides a secure, consistent, and compliant way to accept credit card payments.

Program and Curriculum Approval System (PCAS) modifications/fixes
A number of modifications and fixes will be implemented for the PCAS application and anticipate 19+ being completed this month; a sampling is listed below. This is a focused effort with dedicated resources, and we are excited to be able to make these improvements.

• Electronic Course Authorization System (ECAS) course to display in the Executive Summary & the draft catalog display
• Add text to differentiate between sub-plans and honors sub-plans
• Approval notification emails with text to include graduate or undergraduate level
• Program website displayed on General Info Section in Executive Summary page
• Add "Update Additional Terms" button for PhD programs
• Fix to embedded text under General Requirements for Undergraduate Certificates

• 1098-T: SF IT staff and Student Accounts Assistance in OSF are working on data preparation steps and testing the PeopleSoft bundle changes will occur in November and December. System campus finance staff will be reviewing setup in December for accuracy.
• Spring 2016 tuition setup: This is in progress and expected to be completed by requested dates for each campus. Departments/colleges were reminded that updates to fees for spring should be made in TFMS so they are included in the initial calculations.
• SF system fixes:  A fix for the bill “Remit To” address will move to production on November 22. An update to the MyU: My Finances tab payment plan link is in testing now. 

Destiny One Registration System (DORS) update  
This system is intended to assist students in registering for professional and personal development courses, certificates, and conferences. The rollout and adoption of DORS continues at a very fast pace, which is exciting. There are potential new users contacting us each week. Duluth CE is testing now and we had a call with Crookston on November 16 to formally introduce them to the system.

We want to remind colleges/units who have non-credit registration needs that there are choices available when selecting a system. The Events Calendar, Tickets and DORS Matrix is a resource the ASR Destiny Team collaborated on to allow potential users a quick glance at the functionality provided by each tool. Class Time Conflict Form & Regents Scholarship Workflow Gen Project
The current Class Time Conflict form is being reinvented. Academic Support Resources staff are simplifying the approval process for students, staff, and faculty by converting this paper process to an online workflow. The WorkflowGen process is being developed with input from students, staff, and faculty. This form was selected for an electronic workflow based on the volume received in One Stop. The next WorkflowGen project is for the Regents Scholarship form/process which will have a kick-off meeting in the next week.

GSSP move to One Stop completed
Graduate Student Services and Progress (GSSP) at the University of Minnesota-Twin Cities has completed the transition into One Stop Student Services at the Bruininks Hall location. While the staff, phone numbers, and emails have not changed, the physical location has changed from Williamson Hall to Bruininks Hall. During the transition time, there was minimal service disruption to students and other constituencies. At this point, service has been fully integrated into the One Stop model in Bruininks Hall and has been met with positive feedback from current graduate and professional students.

New staff in One Stop
One Stop Student Services is excited to welcome four new One Stop Counselors to the
team! The start date for these counselors is Monday, November 30. With experiences
ranging from financial wellness work to residence life to sales, we are confident that they
will be great additions to the team. Here is a bit more information on them:

• Ian Macomber: graduated from the University of Minnesota-Twin Cities with a BA in Cultural Studies and Comparative Literature. Ian currently works for a private housing/leasing agency and has worked as a student worker in One Stop.
• Johanna Lowrey: graduated from the University of Minnesota-Morris with a BA in Psychology and Liberal Arts. Johanna currently works at 3M in Product Sales.
• Laura Weisner: graduated from The Ohio State University with a BA in Psychology and Communication and from Ball State University with a MA in Student Affairs Administration in Higher Education. Laura currently works at the University of Minnesota-Twin Cities in Residence Life.
• Karen Magness-Pokornowski: graduated from the University of Wisconsin-La Crosse with a BS in Psychology and an MA in Higher Education Administration. Karen currently works at the University of Massachusetts-Amherst but previously worked at St. Kate's in financial wellness.
